How to track your babysitting hours

2 min read · Updated September 25, 2026

The short answer

For every job, record the date, the family, when you started and finished, your rate, anything you paid for, and whether you've been paid — ideally the moment the job ends.

When you sit for more than one family, the hours add up fast — and so do the texts asking “what do I owe you for last week?” A simple record keeps it easy for everyone.

  1. 1Every hour counted Clock in live, or add hours after the job.
  2. 2Get paid back Snacks and tickets ride along with the job's pay.
  3. 3Who still owes you Unpaid jobs stand out, so nothing slips.
  4. 4Your records, anytime Download a spreadsheet or a printable statement.

What to record for every job

  • The date and the family.
  • When you started and when you finished.
  • Your rate, and anything that changed it — an extra kid, a late night.
  • Anything you paid for that the family should pay back.
  • Whether you've been paid yet.

Habits that make it easy

  1. 1

    Record it on the spot

Start a timer when you arrive and stop it when you leave. If you forget, log it that night while you still remember.

  2. 2

Keep every family in one place

One record for all of your families — including the ones who book you by text — is much easier than a notebook per family.

  3. 3

    Mark what's paid

Keep paid and unpaid jobs apart, so you can see at a glance who still owes you.

  4. 4

    Snap the receipts

Snacks for an outing, museum tickets, gas for a drive — take a photo of the receipt and add it to the job so it doesn't get lost.

  5. 5

    Look back each month

A quick look at your hours and earnings tells you which families you're busiest with and when you might need to raise your rate.
